What AI and smart software can do in your business

Examples we made ourselves, from an assistant that prepares your emails to a job sheet app for use on the go. Made-up data, not client work: they show what is possible.

The short answer

What can AI do for an SME?

AI helps most with work that comes back every day: answering email, drawing up quotes, summarising meetings and looking things up in your own documents. AI prepares it, a person approves it. Custom software does the rest: everything in one place, on the go too, and secure. The examples below show what that can look like.

In short

Where it helps
Work that comes back every day or week, and information that’s now spread over five places.
Who decides
You do. AI prepares a reply, quote or summary; a person reads it through and approves it.
What you see
Examples we made ourselves, with made-up names and data. Not client work.
Ownership
Everything we build is yours. You’re not tied to us.
First step
A no-obligation introductory call. After that you get a plan in plain language, with a quote.

AI at work

AI that does the groundwork

Email, quotes, summaries and questions: AI prepares them from your own data, and you approve them.

Example
Example: An inbox that does the groundwork. Made-up data, not client work.

An inbox that does the groundwork

Email, messages and your website form come in as one sorted list. Where possible, a draft reply is waiting, with the facts from your schedule and contracts; you approve it or adjust it.

Good for: an inbox that fills up every morning

Example
Example: From conversation notes to a quote. Made-up data, not client work.

From conversation notes to a quote

After a visit, you type up your notes just as they come into your head. AI turns them into a draft quote in your own layout and with your own price list, and tells you what you still need to check.

Good for: quotes that eat up your evenings

Example
Example: The meeting summary writes itself. Made-up data, not client work.

The meeting summary writes itself

After the meeting, a short summary is ready, with the decisions and who is doing what by when. You check it and send it round.

Good for: meetings where nobody knows afterwards what was agreed

Example
Example: A chat on your site that knows your business. Made-up data, not client work.

A chat on your site that knows your business

Even in the evening, when the office is closed, a visitor gets an answer from your own information and picks a time straight away. The next working day, a colleague confirms the appointment.

Good for: customers who keep asking the same questions

Example
Example: Everything a new colleague needs to know. Made-up data, not client work.

Everything a new colleague needs to know

Work instructions and agreements in one place. A new colleague asks a question and gets an answer from your own documents, with the source.

Good for: knowledge that lives in a few people’s heads

Example
Example: An AI assistant that knows your own documents. Made-up data, not client work.

An AI assistant that knows your own documents

Ask it, and it looks it up in your own files. The data stays with you.

Good for: getting started with AI

Example
Example: No more retyping invoices. Made-up data, not client work.

No more retyping invoices

Incoming invoices are read and lined up in your bookkeeping. All you do is approve them.

Good for: still retyping invoices

More about AI & automation

Everything in one place

One system instead of five separate programs

From the job sheet on site to the portal for your clients: everyone works in the same system, and what one person enters, the others see straight away.

Example
Example: The job sheet on your phone. Made-up data, not client work.

The job sheet on your phone

On site, you fill in the job sheet, with photos and the customer’s signature. In the office, it’s ready to invoice straight away.

Good for: paper job sheets

Example
Example: Everything in one place. Made-up data, not client work.

Everything in one place

Customers, scheduling and invoices on one screen, instead of five separate programs.

Good for: too many separate programs

Example
Example: A portal for your clients. Made-up data, not client work.

A portal for your clients

Your client logs in and sees for themselves how things stand: the schedule, documents, invoices and messages. That saves phone calls.

Good for: clients phoning to ask how things stand

Example
Example: A schedule for your whole team. Made-up data, not client work.

A schedule for your whole team

Who works where and when, and which jobs are still open, on one screen.

Good for: a schedule that lives in one person’s head

Example
Example: Knowing what’s about to run out. Made-up data, not client work.

Knowing what’s about to run out

Your stock in the stockroom and in the vans, next to what the scheduled work needs over the coming weeks. An order is ready for each supplier; you approve it.

Good for: only noticing something has run out when you need it

Example
Example: A CRM you actually use. Made-up data, not client work.

A CRM you actually use

Clients, quotes, jobs and invoices in one place, with exactly the fields your work needs. No subscription per employee, and no tab nobody ever fills in.

Good for: software that no longer fits how you work

Example
Example: Your systems talk to each other. Made-up data, not client work.

Your systems talk to each other

Webshop, calendar and bookkeeping keep each other up to date. What you enter in one shows up in the others.

Good for: too many separate programs

Secure

Knowing it’s secure

Where your data lives, who can get to it and what’s still left open, in plain language.

Example
Example: Security at a glance. Made-up data, not client work.

Security at a glance

Where your data lives, who can get to it, and whether the backups are running.

Good for: showing it is secure

Example
Example: Who can access what. Made-up data, not client work.

Who can access what

See per person which programs they can access, and which old accounts are still open.

Good for: losing track of who can access what

Example
Example: The outcome of a check. Made-up data, not client work.

The outcome of a check

What is left open, in order of importance, and what is already closed.

Good for: systems nobody has ever tested

All questions
Are these real client projects?
No. These are examples By SBS made itself, with made-up names and data, to show what is possible. The websites we built for clients are on the homepage, each with a link to the real site.
Can you build something like this for my business?
Yes, but never as a copy of an example. By SBS first looks at how you work and where your time goes, and then builds what fits. Often you start small, with one thing that takes up time every week.
So does AI take over my people’s work?
No. In these examples, AI prepares something: a reply, a quote, a summary. A person reads it through and decides. The tedious groundwork is taken off your hands; the contact with your customers and the decisions stay with you and your team.
What does something like this cost?
It depends on what is needed, which is why By SBS has no prices on its site. After the introductory call you first get a plan with a quote: you know what it costs before anything is built.

In the cooperation he's always attentive and responding quickly to questions, and communicates in a very pleasant manner.
