How we handle your data
Privacy statement
In short: we collect only what you send us through the contact form, we ask permission before counting your visit, and we never sell anything to anyone.
Who we are
This website belongs to Salomon Business Services. We determine which personal data is collected here and why, and are the data controller for it under the GDPR.
If you have a question about your data, email info@bysbs.com.
Chamber of Commerce number: 42051248.
What data we collect
If you send a message through the contact form, we process the details you fill in: your name, your email address, your phone number, a subject and the content of your message. Nothing more, and only so we can reply.
We don’t need more than that to discuss a project. So don’t put anything in your message you’d rather not share — there is no reason on this site to leave a national insurance number, a copy of an ID document or medical information, and we will never ask for any of it.
If you contact us on WhatsApp, we process your phone number, your name as it appears in WhatsApp, and whatever you write to us. That conversation runs through WhatsApp itself, a Meta service: we read and keep the message, and Meta handles the traffic under its own terms. If you would rather it did not, use the contact form or email us — it ends up in exactly the same place.
Nothing from WhatsApp is loaded on the site itself. The buttons are ordinary links: nothing reaches Meta until you click one and open the conversation.
If you book a call through Calendly, we process your name, your email address, the time you choose and anything you add yourself. Calendly records the appointment for us and sends you the confirmation. Nothing from Calendly is loaded on the site itself: the button is an ordinary link, and nothing reaches Calendly until you click it.
If you sign up for the newsletter, we keep your email address, the language you signed up in and when you confirmed your sign-up. We ask for nothing more.
If you consent to analytics, we use Google Analytics to measure how many people visit the site and which pages they read. It doesn’t reveal who you are. Until you give that consent, nothing is loaded from Google and nothing about your visit is recorded.
If you also consent to marketing, the advertising platforms we advertise on — Google Ads, Meta (Facebook and Instagram) and possibly LinkedIn — measure whether a visit via an ad leads to a message to us. That does not reveal who you are either, and without that consent nothing of theirs is loaded.
Why we process it, and on what basis
We process a message from the contact form in order to answer your question and, if you want one, to produce a quote. The basis is our legitimate interest in being able to respond to whoever approaches us and — once it concerns an actual commission — the step preceding a contract.
A message on WhatsApp is processed on the same basis and for the same purpose: you choose that channel to reach us, and we use it only to reply.
An appointment through Calendly is processed on the same basis and for the same purpose: you choose a time to talk to us yourself, and we use your details only for that conversation.
We only send the newsletter with your consent. You give that consent by clicking the link in the email we send you after you sign up, and you withdraw it with the unsubscribe link at the bottom of every newsletter.
Statistics and ad measurement are processed solely on the basis of your consent, which you can withdraw at any time.
Who we share your data with
We share your data only with parties who help us run the site and our email, such as our hosting and mail providers. They may process your data solely on our behalf and not for their own purposes.
If you choose WhatsApp as your channel, that conversation necessarily also travels over Meta's servers. That is not a choice we make on your behalf — you make it yourself by clicking the button — but it belongs here.
If you book a call, Calendly, LLC in the United States processes your name, your email address and the appointment on our behalf. Calendly participates in the EU-U.S. Data Privacy Framework. If you have consented to marketing, the advertising platforms are told that you clicked that button, just as with WhatsApp — not what you fill in afterwards.
We send the newsletter ourselves, from our own website. Your email address only passes through our email provider, which delivers the emails.
If we work together on a project, what you send us stays between us. We don’t show work we don’t have permission to show, and we won’t show your work publicly without asking.
If you consent to marketing, Google, Meta and possibly LinkedIn learn through their own cookie that you visited the site and whether you sent a message — not what you wrote. They also use that for their own purposes, under their own privacy policies.
We don’t sell, rent or trade your data. To anyone.
How long we keep it
If it doesn’t become a collaboration, we delete your message within twelve months. If it does, we keep what belongs to the project for as long as necessary — and the accounts for seven years, because the tax authority requires it.
The same applies to a WhatsApp conversation: if it does not become a collaboration, we delete the conversation within twelve months. What Meta itself keeps is beyond our reach.
The same applies to an appointment through Calendly: if it does not become a collaboration, we delete the appointment within twelve months, including at Calendly.
Your email address stays on the newsletter list until you unsubscribe. If you don't confirm your sign-up, we delete it after thirty days. If you unsubscribe, we only keep your email address marked as unsubscribed, so that you receive nothing more from us.
Google Analytics keeps visit statistics for a maximum of 14 months — the longest that service allows — and deletes them automatically after that.
Cookies set by the advertising platforms fall under those platforms’ own retention periods; our own consent cookie expires after six months.
Your rights
You may ask what data we hold about you and receive a copy of it. You may have it corrected if something is wrong, and you may have it deleted. You can also ask us to restrict processing, object to processing, and receive your data in a portable file.
Where we process something on the basis of your consent, you may withdraw it at any time. That applies from that moment on; what happened before remains lawful.
Let us know and we’ll sort it. We respond within one month. If you feel we’re not handling your request properly, you may lodge a complaint with the Dutch Data Protection Authority (autoriteitpersoonsgegevens.nl).
Cookies and analytics
This site sets no tracking cookies on its own. Advertising and social-media trackers only load after you have given separate consent for them; until then nothing from Google Ads, Meta or LinkedIn is on the page.
If you accept statistics, Google sets cookies on your device to tell a returning visitor from a new one.
If you also accept marketing, Google Ads and Meta each set a cookie (such as _gcl_au and _fbp) to link a click on an ad to a message you send afterwards.
We store your choice itself in a small cookie too, so we don’t ask again on every page. That cookie lasts six months; after that we ask once more.
If you close the newsletter pop-up or sign up, your browser remembers that, so the pop-up doesn't keep coming back. That stays on your own device; nothing about it is sent to us.
Changing your choice
You can change your choice about statistics and marketing at any time. If you turn something off, that measuring stops immediately and further visits are no longer recorded.
Security
The site runs over a secure connection (https) and access to incoming messages is protected with individual accounts.
Minors
Our services are aimed at businesses and organisations, not at children. We do not knowingly ask for data from minors. If you think we hold any, let us know and we’ll delete it.
